SPECIFIC POLICIES RELATING TO
VANCLEAVE PUBLIC LIBRARY MEETING ROOM

- The Vancleave
Public Library operates its meeting room under policies established by the
Jackson-George Regional Library System Board of Trustees.
Groups using the meeting room agree to abide by these policies.
- The
Library’s meeting room is available for use from 8 a.m. until midnight seven days a week. The meeting room capacity for Vancleave
Public Library is 100 persons standing and 80 persons seated. Library
hours are 9 a.m. to 7 p.m.
Monday through Thursday and 9 a.m.
to 5 p.m. Friday and Saturday.
- The meeting room keys must be picked up and signed for by the
applicant or a designated responsible party during regular Library hours
and returned in the book drop immediately following the meeting or event. The Library is not responsible if the applicant,
representatives or the organization fails to obtain the key prior to the
meeting.
- The applicant will be responsible for discipline and
reasonable care of the meeting room, kitchen and furnishings. The
applicant will be financially responsible for any damage to the
facilities, equipment or contents or for the theft of Library equipment or
furnishings.
- Groups are responsible for arranging the meeting room as needed
- The Library will provide trash containers/trash bags in the kitchen
area. Groups using the kitchen will
be responsible for the removal of all trash from the Library premises at
the end of the meeting. If used, the kitchen must be thoroughly cleaned by
the group before departing.
- Food
and supplies must be removed from the refrigerator or freezer. Any Items
that are left will be discarded.
- Applicants
are responsible for cleaning tables and chairs and damp mopping floors in
meeting room and kitchen.
- When
leaving, lights must be turned off and all outside doors locked.
- Parking
in undesignated parking areas is prohibited and may result in towing at
the owner’s expense. Do not park on
the grass.
- Reservations
from groups are accepted for a period of one year for meetings beginning
in September and ending in August. Reservations for single meetings are
accepted at any time. Note: Only
one (1) application is permitted for an individual or group per month for
Fridays after 4:00 p.m.,
Saturdays and Sundays.
